Overview

Rock N' Root Beer was a one time fundraiser I pitched and then held alongside other brothers of Phi Kappa Sigma fraternity on Purdue campus. We began with a budget of $3,000 and raised a total of $12,000 for the Leukemia and Lymphoma Society. As External Vice president I was tasked with general coordination and organization in order to hold our first ever Rock N' Root Beer fundraiser. Being the first event of it's kind and as a rookie manager it was a bit of a rocky road but the experience but the lessons I learned along the way were invaluable.

I approximated the cost of the overall event and maintained a budget that made the event possible, managed the different facets of the event, while communicating all work with the house.

I was in constant contact with 6 contractors and a national distributor including 3 artists and our lighting and sound consultants. I was responsible for communication with and the adherence of guidelines posted by all Purdue, West Lafayette, and Indiana agencies as well as general management of officers making the event possible.

Looking Back:

  1. Keep the vision - keeping everyone aware and excited was essential at every steps and helped out in ways I could have never expected. For example making it far easier to find local musicians willing to join up even with a highly limited budget.
  2. Prepare ahead - Initially we had not left room for much "Oh sh**t" time at the end of our sprints. This pretty much immediately caused problems and crunch. Going forward having an extensive landing strip on the most substantial tasks will definitely be a priority
  3. Keep the backlog specific - Initially we had only our biggest items on the backlog (effectively the milestone items). At some points that resulted in some smaller ticket items being lost in the woodwork.
